Automating a form

Once you have built your form, you can have the system send the form request email automatically for you, asking customers to complete it. This is done by linking a form to a service and setting when the form request email should be sent when that service is booked.

To linking a form to a service and automate it please click:

  • Manage
  • Services, then
  • Edit next to the service name

Services with a linked form, are listed with a Forms tag

Select the Forms tab

Then click Add form

Choose the form you wish to link, then set how often the form is sent with the Frequency, and when the form will be sent with the Mode

The Request mode options are:

  • At appointment created - the form is sent immediately when the appointment is created
  • At a scheduled time - choose how long before or after the appointment the form is sent
  • Internal prompt only - the form is not sent, but the appointment includes a prompt for you to easily open and complete it

Click Add form

You will see the form has been linked to the service, to make changes to your automated form:

  1. Click Edit to change the Frequency or Mode settings, or
  2. Click Delete to remove the form from this service

When an appointment with a service that has a linked form is created you will see a Forms tab in the appointment window

To stop a form being automatically sent for any appointments click:

  • Manage
  • Forms, then
  • Edit

Forms which have automation enabled are listed with a Automation tag

Deselect the Automation enabled checkbox, then click Save & Close

This will stop this form from being automatically sent when appointments are created:
